About User Role Access Options

User role access options enable you to define permissions to various components and functions in the database by user role. Before you can define a user’s access options, you must first do the following:

            Set up roles.

            Add users to MRI and add them to roles.

Global Access

Global access is the default access right in MRI. Global access provides a user role with unrestricted access to tables, entities, reports, functions, accounting basis codes, properties, and project management items in a database.

Note

If you want to restrict access to certain database components and functions, you must first cancel global access for those items by clearing the Global Access check box.

When you cancel global access for an item, such as reports, you must specify the reports for which you want to grant access or the role will not have access to any reports.

 

User Role Access Rights

MRI provides the following user role access rights:

            Global—Enables full access to any or all tables, reports, entities, properties, projects, basis codes, and database functions.

            Table—Determines the specific tables and fields a user role can access. You can specify full, view-only, update, add, or delete access to tables. You can also restrict individual fields within a table to full, view-only, or hidden access.

            Report—Determines the reports a user role can run.

            Entity—Determines the specific entities a user role can access. An entity is typically a building, single location, or property that represents the lowest accounting level in MRI. You can base entity access on other tables you use to group entities, such as the Projects table (PROJ).

            Property—Determines the specific CRE properties a user role can access.

            Project Management—Determines the specific CRE projects a user role can access.

            Basis—Determines the accounting basis codes that are displayed in the basis code selection list throughout MRI.

            Additional—Determines the database functions a user role can perform.
