Use the Sites tab of the Sites page to manage your sites and their entity and user connections for Distributive Processing.
If you would prefer to manage your connections based on a list of entities or a list of users rather than a list of sites, use the Entities tab or the Users tab.
To add a new site, follow these steps:
1. Go to Sites.
2. If you have super administrator rights, enter the appropriate
Client ID in the Client ID Override
field in the user profile .
Note
The database list is filtered depending on the Client ID.
3. In the left panel, select the Sites tab if it is not already selected.
4. In the Database field, select the database for which you want to add a site. Once a database has been selected, the left panel is populated with a list of the sites configured for that database. To search for a specific site, use the search bar at the top of the panel.
5. Click Add at the bottom of the left panel. The Create New Site window opens.
6. Configure the following fields and options in the Create New Site window:
▪ Unique Site ID—Enter a unique alphanumeric ID for the site. This field is limited to two characters.
▪ Site Name—Enter the name of the site.
▪ Site Type—Select the type of site you are adding from the following options:
▪ Home Office
Note
Only one site can be designated as the Home Office.
▪ On Location
▪ Regional
▪ Virtual Site—Select this checkbox if you are creating a virtual site that accesses and modifies site-specific data in the central database located at the site designated as the home office. Leave it unselected if you are creating a physical site.
▪ Unique Location ID—Enter a unique location ID of up to 8 characters for the site, if different from the default. If you selected the Virtual Site checkbox, this field is automatically set to match the Unique Site ID field, and cannot be changed.
7. Click Save. Your new site is added to the list.
To add information to the Contact, Phone, and Account Code fields, you must edit the site after creating it, as described below.
To edit an existing site, follow these steps:
1. On the Sites page, on the left panel's Sites tab, select the site you want to edit.
2. Click Edit at the bottom of the left panel. The Edit Site Details window opens.
3. Edit the fields and options described in step 6 of the "Adding a New Site" section above. The Unique Site ID and Unique Location ID fields cannot be edited. The following additional fields are also available while editing:
▪ Contact—Enter the name of the designated contact person at the site.
▪ Phone—Enter the phone number of the contact person at the site.
▪ Account Code—If you want to enable the site to create a new account number in the chart of accounts, enter a Distributive Processing account prefix or suffix of up to 3 characters. The system appends the account code to the account number in the chart of accounts to ensure that no two sites set up the same account number.
Note
Only use the Account Code field if the Use DP Account Code checkbox on the Ledger Codes view for the Ledger Codes table (GLCD-MRI) is selected.
4. Click Save.
Caution
You cannot delete a site that is assigned to an entity. You must first unlink all entities from the site. When a site is deleted, all references to that site are removed from the site map.
To delete an existing site, follow these steps:
1. On the Sites page, on the left panel's Sites tab, select the site you want to delete.
2. Click Delete at the bottom of the left panel.
3. Click Confirm.
After selecting a site, you can add or remove entities. Alternatively, you can connect entities to sites via the Entities tab.
When you are assigning entities to sites, keep in mind the following points:
▪ You can assign each entity to only one active site; however, you can assign multiple entities to the same active site.
▪ You can assign each user to only one active site; however, you can assign multiple users to the same active site. If a user needs access to more than one entity, you must assign all of the entities to the same site to which you plan to assign the user.
To add an entity to a site, follow these steps:
1. On the Sites page, on the left panel's Sites tab, select a site.
2. Select the Entities subtab in the middle of the page.
3. Click Add. The Add Entity to Site window appears. The list of entities may take a few seconds to populate.
4. Select one or more entities to add to the site. To filter the list, use the Search bars in the Entity ID, Entity Name, or Active Site columns. At the bottom of the list, you can also choose to show 10, 25, 50, or 100 results per page.
5. Click Save.
6. Click Confirm.
Entities can be removed from a site by selecting the checkbox next to the entity and clicking Remove.
After selecting a site, you can add or remove users. Alternatively, you can connect users to sites via the Users tab.
When you assign a user to a virtual site, the user has access to all of the entities assigned to that site.
Note
You can assign each entity and each user to only one active site. If a user needs access to more than one entity, you must assign all of the entities to the same active site to which you plan to assign the user.
Caution
If you do not assign virtual users to a virtual site, they will have access to all entities in your central database.
To enable the system administrator to have access to all sites, never assign the SYSADM user ID to a specific site.
To add a user to a site, follow these steps:
1. On the Sites page, on the left panel's Sites tab, select a site.
2. Select the Users subtab in the middle of the page.
3. Click Add. The Add Users to Site window appears.
4. Select one or more users to add to the site. To filter the list, use the Search bars in the Username, First Name, Last Name, or Site ID columns. At the bottom of the list, you can also choose to show 10, 15, or 20 results per page.
5. Click Save.
6. Click Confirm.
Users can be removed from a site by selecting the checkbox next to the user and clicking Remove.
